New Procedures for Regional and Superregional Committees

The RoboCup Federation has updated the procedures for Regional and Superregional Committees. The new procedures are intended to simplify communication between the committees and the Federation and to establish transparent, accountable, and democratic governance procedures across RoboCup regions worldwide.

Statement of Intent

The RoboCup Federation recognizes that the strength and vitality of the global RoboCup community rests upon the engagement, autonomy, and responsibility of its regional representatives. Regional and Superregional Committees serve as the essential bridge between the Federation and the teams, researchers, educators, and students who give RoboCup its enduring purpose.

This document establishes the procedures, rights, and duties that govern the formation, accreditation, and operation of RoboCup Regional and Superregional Committees. It reflects our shared conviction that local communities, when empowered through clear and democratic governance structures, are best positioned to grow participation, uphold quality standards, and inspire the next generation of innovators in artificial intelligence and robotics.

By adopting these procedures, the Federation and its regional representatives affirm a mutual commitment: to promote inclusive, transparent, and accountable governance at every level of the RoboCup ecosystem, ensuring that the spirit of friendly competition, scientific progress, and educational excellence flourishes in every region of the world.

Accreditation of Regional Committees

All existing Regional and Superregional Committees, as well as regions wishing to establish a new committee, must follow the RoboCup Regional Committee Procedures and Accreditation Guidelines. The accreditation process is as follows:
  1. Prepare your committee procedures or bylaws.
Each committee must submit its own procedures or bylaws describing its governance structure. These should include, among other things, the committee's representatives, how representatives are selected or elected, and the relevant election and decision-making procedures. The submitted document must comply with the RoboCup Regional Committee Procedures and Accreditation Guidelines.
  2. Consult the FAQ.
An FAQ document provides answers to common questions concerning the new procedures and accreditation process.
  3. Use the provided template and implementation guide if helpful.
A Regional Committee Bylaw Template is available to assist committees in preparing their application. Use of this template is optional. Committees may submit their own bylaws or procedures, provided that they comply with the Regional Committee Procedures and Accreditation Guidelines.
An Implementation Guide is also available to assist committees with implementing the new procedures.
  4. Submit your application.
Applications should be sent by email to office@robocup.org using the following subject line:
    [Regional Committee] Application <your region>
  5. Application review.
You will receive an acknowledgement confirming receipt of your application. The RoboCup Federation aims to provide a response within four weeks.
During the initial implementation period, however, the number of applications may be difficult to predict. The four-week review period should therefore be regarded as a best-effort target rather than a guaranteed deadline.

Complaints

Complaints relating to Regional or Superregional Committees or the accreditation process should be sent to office@robocup.org using the following subject line:[Regional Committee] Complaint <your region>The RoboCup Federation will review the complaint in accordance with the applicable procedures.
